What to do in March

Nominating Committee
In March, the Nominating Committee that should've been formed at the February Meeting should Send out Notices to All Parents, canvassing the membership for interested parties to nominate themselves or someone else for position on the Executive Board for the following year.

If you did not have a February meeting or were unable to form a nominating committee at that time, you may do so in March.

A Sample of the Canvas letter can be found here.
Sample Letter

Please remember this is a sample and you must change it to reflect the make up of your executive board as outlined in your Association's By-Laws.  Change all headings to reflect your PA. Remember to fill in all the blanks and XXX's to your dates and such and remove all instances of Presidents' Council's logo and such.

You do not have to use this sample form. You may make up one of your own but please remember that it should list all office positions and should have a list of the responsibilities of said positions.  It also should clearly outline the procedure for submitting a nomination to whom and by when.

All positions are open for nomination !  Unless your bylaws allow for a term longer than one year you must elect all positions each year.  Term limits must be taken into consideration as well.  If your bylaws indicate a term of one year with a limit of two then on the third year, an officer cannot run for the same position if someone else wishes to run.

Basic Responsibilities of Officers Your by laws should have something similar.

Form a Budget Committee
if  the Budget Committee formed in September is not available. Present Proposed Budget in April.
The Budget committee should be at least 3-5 people. The Treasurer should be a part of the budget committee. If the treasurer cannot be a part of the budget committee they must work with the committee in reviewing the years income and expenses.  The current years budget should be carefully examined for fine tuning for the upcoming year. Please remember to clearly outline the responsibilities of the budget committee so that members volunteering know what is expected of them.

Fund Raising Committee should work on Proposed Fund raisers for following year - (Work with Budget Committee) Report in April... The membership must approve all fund raisers for the upcoming year.  Please remember to discuss all fundraisers including children and on school property with your principal.  If you do not have a fund raising committee then this is the responsibility of the officers.
